The story of Medical University - Pleven

About the MU Pleven project

The management of the Medical University of Pleven contacted us with a request for assistance regarding the modernization of their IT infrastructure and its handling. The scope of the project included optimizing the IT department and digital security, technological reforming of organizational and administrative processes, and the introduction of platforms and services to support educational programmes.

On the following pages you will see how MU Pleven became a modern European educational institution with the help of our rich experience in digitalization and IT services.

Integration of platforms and services

EduGain Integration

The global online identification system EduGain facilitates communication between different institutions around the world and provides extensive access to a range of services and materials related to science and learning. This supports collaboration on academic and educational projects, while improving the reputation of universities.

This secure, efficient and innovative service is being used by over 89 million researchers and students worldwide while saving time and resources for them and for the institutions.

Moodle Integration

Moodle is an online learning platform. Its integration allowed MU Pleven to digitilize lectures, materials, tests and homework, and gave students opportunity to provide assessment and feedback to lecturers. The platform gives a rich set of data for analysis and improvement of students’ weaknesses, as well as for updating teaching and learning practices.

Automatic synchronisation with NACID

For the legally required synchronization of its student database with the National Centre for Information and Documentation (NACID), MU Pleven sent a spreadsheet with all the necessary data. In addition to the large amount of time and manual labour involved, the process increases the likelihood of error.

We improved and expanded the IT infrastructure of the university to automate the synchronization with NACID. After the changes were implemented, the database of all current and graduated students was sent and updated in seconds.

Eduroam Integration

We have also incorporated the global roaming service Eduroam, which gives researchers, professors and students access to free wireless internet. The registered users of MU Pleven can now access Wi-Fi in all 10,000+ partner locations worldwide.

IT improvements

Our technological team worked in collaboration with the IT department of MU Pleven for the improvement of the efficiency and management of technology at the educational institution. After our evaluation of the digital infrastructure, we proposed automation models to reduce the costs for IT, yet increase its quality and reliability.

The first IT optimisation was the introduction of a single account system called single sign-on (SSO). Through SSO, each student or faculty member uses a single account for all university services or resources. This eliminates multiple passwords and the risk of forgetting and compromising them. Access to data is transparent and no user can misuse it. Even from public locations, logging into university systems is easy and secure. In addition, the SSO technology makes the IT department’s work more efficient. Adding or removing a user is done at the click of a button. Administrative costs, opportunities for errors, data loss or theft are reduced. Inconvenient account and password updates are minimized.

After SSO we implemented Microsoft’s best algorithms for protection against spam, phishing attacks and ransomware (malware designed to restrict access to a computer system by demanding a ransom). All emails containing spam, fraudulent messages, viruses, etc. are detected and disabled by the algorithms, preventing them from reaching people in the organization. Even if a device in the architecture is exposed to an attack, the problem remains local, and all data and files are stored and protected in Microsoft’s OneDrive cloud. This cloud-based synchronization enables quick recovery of the affected part of the system.

During student admissions or application exams, the load on the university IT infrastructure increases manifold. A potential collapse leads to a compromised academic year and an undermined reputation. On the other hand, maintaining high capacity all the time is expensive and inefficient. Our solution automatically scales its capacity according to the load, ensuring smooth operation throughout the year while reducing costs.

Other innovations

Through software upgrades we also managed to affect the physical environment of MU Pleven. We have introduced an automatic classroom management and scheduling system. When entering a new event, the network checks which space is free and suitable according to time, duration  and capacity. Each room can be booked and approved online by a staff member responsible for it. We have also placed a tablet in front of each room to display and update its schedule in real time. Checking for a vacant working space can be done from any device connected to the system.

The digital library of MU Pleven was automated according to the legal requirement that one e-book can be borrowed by one student. We made it easier to handle book requests and track them. Like other services at the university, the access to the library is granted automatically upon the student’s admission and is denied upon their graduation.

We have also introduced a convenient electronic voting system. Voting decisions could be made in person or online. Results are visible immediately and can be either anonymous or public.

In partnership with Konica Minolta, we have positioned printers at selected locations across the university. The students deposit money into their own accounts and use a card to pay by touching the printer. The price charged per page is set by management, and a portion of the profit remains for the university.
